Google Workspace (formerly G Suite) in India: Plans, Features and How to Set It Up on Your Domain
If you searched for “G Suite India” and landed here, you’re in the right place — Google renamed G Suite to Google Workspace in 2020. Same idea, more apps, different plan names. What hasn’t changed is the main reason Indian businesses buy it: Gmail on your own domain, so your team writes from name@yourcompany.in instead of a free Gmail address.
This guide covers what Google Workspace actually includes, how the plans differ, whether it’s the right choice compared with other business email options, and the exact steps to set it up on a domain you already own.
What is Google Workspace?
Google Workspace is Google’s paid suite for businesses. Every user gets:
- Gmail on your domain — the familiar Gmail interface, but with your company address and no ads
- Google Drive — cloud file storage, shared drives for teams
- Docs, Sheets and Slides — real-time collaborative editing
- Google Meet and Google Chat — video calls and team messaging (these replaced the old Hangouts)
- Calendar — shared calendars and meeting-room booking
- An admin console — create and remove users, reset passwords, enforce 2-step verification, and manage company devices
The admin console is the part people underestimate. When an employee leaves, you suspend their account and transfer their Drive files to someone else in a few clicks. With free Gmail accounts, the company’s emails and files leave with the person.
G Suite vs Google Workspace: what actually changed?
For most small businesses, very little day to day. The rename brought three practical differences:
- New plan names — the old “Basic / Business” tiers became Business Base, Business Starter, Business Standard and Enterprise
- Pooled storage — storage is shared across the organisation instead of being a fixed amount per mailbox
- Chat and Meet replaced Hangouts — if you still see “Hangouts” in old documentation, that’s the G Suite era
If your company signed up for G Suite years ago, you were moved to an equivalent Workspace plan automatically. Your mailboxes and data stayed exactly where they were.

Which plan should a small Indian business choose?
Most small businesses start on Business Starter. 30 GB per user is far more than most mailboxes ever use, and because storage is pooled, one heavy user can borrow from the rest. Move up to Business Standard when your team starts storing large design files, videos or client project folders in Drive — that’s usually when 30 GB starts to feel tight.
Google Workspace vs other business email options
Google Workspace is excellent, but it isn’t the only way to get email on your domain, and it isn’t always the cheapest fit. The honest comparison:
- Choose Google Workspace if your team already lives in Gmail, Docs and Sheets, or you want Drive, Meet and Calendar from one provider
- Choose standard business email hosting if you only need professional mailboxes with webmail and mobile sync, and want the lowest per-mailbox cost
- Choose enterprise email hosting if you need large mailboxes with calendar, contacts and file storage, but don’t need the full Google app suite

How to set up Google Workspace on your domain (step by step)
You need a domain name before you start. If you don’t have one yet, register a domain first — it takes a few minutes.
- Sign up and add your domain. Create the Workspace account with the domain you want to use for email.
- Verify you own the domain. Google gives you a TXT record. Add it in your domain’s DNS zone (in cPanel, this is under Zone Editor). Verification usually completes within an hour.
- Create user accounts. Add each employee and choose their email address. Set up shared addresses such as info@ or sales@ as groups rather than paid users — groups are free.
- Change your MX records. This is the step that actually moves your email to Google. Replace your existing MX records with Google’s. Until you do this, mail keeps arriving at your old provider.
- Add SPF, DKIM and DMARC. These DNS records prove your emails are genuinely from you and keep them out of spam folders. Skipping DKIM is the most common reason new Workspace accounts land in recipients’ spam.
- Migrate old email. Use Google’s data migration tool in the admin console to copy existing mailboxes from your old host over IMAP.
- Set up phones and Outlook. Install the Gmail app on phones, or use Google Workspace Sync if your team prefers Outlook on the desktop.

Common setup mistakes to avoid
- Deleting old MX records too late or too early. Change them once users exist in Workspace, not before — otherwise incoming mail has nowhere to go.
- Changing your website’s A record by accident. Workspace only needs MX, TXT and (optionally) CNAME records. Your website stays exactly where it is hosted; don’t change the A record.
- Paying for a user per shared inbox. Use groups or aliases for info@, accounts@, support@.
- No DKIM. Generate the DKIM key in the admin console and add it to DNS on day one.
- Not migrating old mail before cancelling the old plan. Once the old mail server is gone, so are the messages on it.

Can I use Google Workspace with my existing website hosting?
Yes. Your website and your email are controlled by different DNS records. You can keep your website on your current host and point only the MX records to Google.
Do I need a domain to use Google Workspace?
Yes. Google Workspace email works on a domain you own. If you don’t have one, you can register one and set up Workspace on it the same day.
Can I keep my old emails when I move to Google Workspace?
Yes. Google’s data migration tool copies existing mail from most providers that support IMAP. Do this before you cancel the old email plan.

Account creation and domain verification usually take under an hour. Email starts flowing to Google once your MX records update, which is typically a few hours, occasionally up to 48.
Is Google Workspace better than business email hosting?
